    Why Your Sales Team is Failing (And How CRM Workflows Can Fix It)

    If your sales reps are relying on sticky notes, spreadsheets, or their own memory to manage their pipeline, you are losing deals. The average salesperson gives up after 2 follow-ups, but 80% of sales require 5 or more follow-ups. You cannot rely on human discipline; you must rely on systems.

    1. The "No Lead Left Behind" Workflow

    When a new lead enters the CRM, it should be automatically assigned to a rep based on round-robin routing or territory. But more importantly, the CRM must enforce action. If a rep does not contact the lead and update their status within 15 minutes, the CRM should automatically reassign the lead to another rep or alert the sales manager.

    2. Automated Task Generation

    Sales reps shouldn't have to think about what to do next. When a deal moves to the "Proposal Sent" stage, the CRM should automatically create a task for the rep to follow up in 2 days. When a deal moves to "Closed Won," the CRM should automatically create a task for the onboarding team. This ensures a seamless handoff and zero dropped balls.

    3. The "Stale Deal" Alert

    Deals that sit in the same pipeline stage for too long usually die. Set up a workflow that monitors the "Last Activity Date" for every deal. If a high-value deal hasn't been touched in 7 days, the CRM should automatically send an internal alert to the rep and their manager, prompting them to re-engage the prospect.

    4. Mandatory Pipeline Hygiene

    Garbage data leads to garbage forecasting. Use your CRM to enforce pipeline hygiene. For example, a rep should not be able to move a deal to the "Contract Sent" stage unless they have filled out mandatory fields like "Decision Maker Name," "Budget," and "Expected Close Date."
